What every Nepal invoice should include

A proper invoice clearly names both the seller and the buyer, carries a unique invoice number, the issue date and a line-by-line list of what was sold. Add your business address, contact number and any PAN/VAT registration details so the document is accepted for accounting and tax filing with the Inland Revenue Department.

PAN and VAT numbers in Nepal

Businesses registered for VAT must print their 9-digit VAT/PAN number on the invoice, and VAT-registered suppliers issue a tax invoice showing 13% VAT separately. If you are not VAT-registered you can simply leave the VAT at 0% - the PDF is still a perfectly valid bill or receipt for your customer.

VAT, discounts and the total in words

Nepal applies a standard 13% VAT on most goods and services. The tool lets you apply a discount first and then VAT on the reduced amount, exactly as Nepali books are kept. The total is also written out in words (e.g. "One thousand five hundred rupees only"), which banks and customers expect on formal invoices.

TDS and when it applies

For certain payments - like rent above the threshold, professional or technical service fees, and commissions - the payer must deduct Tax Deducted at Source (TDS) and deposit it with the IRD. This generator focuses on the invoice itself; if TDS applies, note the deducted amount in the Notes field so both sides agree on the net payable.

Due dates and payment terms

Most Nepali businesses use net-7, net-15 or net-30 terms. State the due date or "payment within X days" clearly in the Notes field so there is no confusion. A dated invoice also helps you track ageing receivables and follow up politely if a payment is late.

Sending the invoice as a PDF

Once downloaded, the PDF is a clean, one-page A4 document you can email, WhatsApp or print. Because everything is generated in your browser, none of the customer or amount details ever leave your device - handy when you are billing from a phone on the go.

What is an invoice generator, and how does this free Nepal tool work?

An invoice generator builds a properly formatted bill from the items you enter, instead of you laying it out in Word or Excel. Scolar’s Invoice Generator is a free, browser-based tool for Nepal: add your business and customer, list items with quantity and rate, and totals, VAT and the grand total calculate automatically. Download a clean one-page A4 PDF to email, share on WhatsApp or print — no sign-up, no watermark, nothing uploaded.

Why it is free, with no sign-up and unlimited use

The invoice and PDF are produced inside your own browser, so there is no server storing your customer names, amounts or PAN and no account to create. That is why the tool stays 100% free, adds no watermark, asks for no email, and lets you raise unlimited invoices.

How to make an invoice, step by step

  • Fill in your business and customer details, including PAN and bank if you have them.
  • Add line items with description, quantity and rate - totals, VAT and grand total calculate automatically.
  • Download the one-page A4 PDF to email, share on WhatsApp or print, or copy the text for a quick message.

Getting paid in Nepal

Add your PAN and bank details so the PDF doubles as a tax-friendly record, set an issue date and payment terms in Notes, then send it the same day. Because the file is built locally, sensitive client and amount data never leaves your device — handy when billing from a shared or public computer at a cyber café.

“A Nepali small business should not buy accounting software just to send an invoice. Add items, download the A4 PDF — free, on any phone.”

Frequently asked questions

What details do I need on an invoice in Nepal?

Include your business name, address and phone, the customer name, a unique invoice number, the issue date, and a clear list of items with quantities and rates. VAT-registered businesses should also show their 9-digit VAT/PAN number and 13% VAT separately.

Does the invoice include VAT automatically?

Yes. Set the VAT slider to 13% (or 0% if you are not VAT-registered) and the tool calculates VAT on the discounted subtotal and prints the total in words, matching how Nepali invoices are usually prepared.

Do I need to register for VAT to use this?

No. Anyone can create a bill or receipt here. Simply keep VAT at 0% if you are not VAT-registered - the document is still valid for your customer and for your own records.

What is TDS and does this tool add it?

TDS (Tax Deducted at Source) applies to specific payments like rent or professional fees and is deducted by the payer, not the issuer. This tool builds the invoice itself; if TDS applies, note the deducted amount in the Notes field so the net payable is clear.

Can I set a due date on the invoice?

Yes. Use the issue date field and add your payment terms - for example "Payment due within 7 days" - in the Notes box. A dated invoice with clear terms helps you track and follow up on payments.

How do I send the invoice to my customer?

Click Download invoice PDF to get a clean one-page A4 file you can email, share on WhatsApp, or print. Everything is generated in your browser, so customer and amount details never leave your device.
